The key habit is simple: never record a sale without linking a stock item. Once you do that consistently, every report updates itself.

Step 1: Create Stock Groups and Categories

Before making items, decide your structure. A garments accessories trader might group by fabric type; an electronics retailer by product family. Go to Create > Stock Group and make broad buckets first.

Stock categories work one level above groups for cross-tab reporting, but beginners can safely ignore them initially. Groups alone are enough.

Step 2: Create Stock Items

Go to Create > Stock Item. The fields that matter:

Two beginner warnings. First, be consistent with names: “charger samsung” and “Samsung charger” become two different items in reports. Pick one pattern and stick to it. Second, always enter opening balances as both quantity AND rate, or your stock valuation will show wrong values even when quantities look right.

Step 3: Record Purchases and Sales Correctly

When goods arrive, record a Purchase voucher (F9) selecting the supplier ledger and each item with quantity and rate. When you sell, use a Sales voucher (F8). Tally automatically reduces stock and calculates profit based on how you value issues.

Choose a costing method in F11 features if asked:

Open a stock item in alter mode and set Reorder Level and Minimum Level. For example, a fast-selling fan might get a reorder level of 20 pieces. When stock touches that number, the Reorder Status report lists it automatically. This turns purchasing from memory-based panic into a routine checklist.

Physical Verification and Adjustments

Books and shelves drift apart; that is normal. Do a physical count monthly or quarterly. Where counts differ from Tally, pass a Physical Stock voucher to correct quantities, then investigate why. Recurring shortages in one item usually mean theft, unrecorded sales, or delivery errors, and each has a different fix.
